Getting started with Weqly
Set up your first workspace, invite your team, and learn who can do what.
Welcome to Weqly! This guide walks you through your first steps: setting up a workspace, inviting your team, and understanding who can do what.
Workspaces
Everything in Weqly lives inside a workspace. A workspace is your organisation: its people, teams, schedules, and settings. You can belong to more than one workspace (for example, if you work for two businesses that both use Weqly).
Your active workspace is shown in the top navigation. To switch:
- Open the workspace switcher in the top bar.
- Pick the workspace you want to work in.
Everything you see, including the schedule, users, and leave, updates to that workspace.
Creating a workspace
- Open the workspace switcher.
- Choose Create workspace.
- Give it a name (and optionally a logo).
You become the owner of any workspace you create.
Inviting your team
- Go to the Users page.
- Choose Invite user.
- Enter their email address and pick their role.
They receive an email invitation. New people set up an account when they accept; people who already use Weqly simply join your workspace.
Pending invitations are visible on the Users and Teams pages until they’re accepted or revoked.
Roles
Every member of a workspace has a role that controls what they can do.
| Role | What they can do |
|---|---|
| Owner | Full control. Manages billing, can transfer ownership or delete the workspace. One per workspace. |
| Admin | Manages users, settings, leave types, and integrations. |
| Manager | Builds schedules, assigns shifts, and approves or rejects leave for their teams. |
| Member | Views their own schedule, requests leave, and requests shift trades or drops. |
You can change a person’s role from the Users page at any time.
Teams
Teams group people together (by department, location, or however you like). Managers are assigned to teams and manage the schedules and leave for the people in them.
Create and edit teams on the Teams page.
