Leave types & balances
Define kinds of time off and how each balance builds up over time.
Leave types define the kinds of time off your workspace offers (annual leave, sick leave, and so on) and how each one’s balance builds up over time. This guide is aimed at admins who set them up, and anyone who wants to understand their balance.
Leave types
Admins create leave types on the workspace settings. Each type has a name, a colour tag, and a rule for how its balance is topped up (its recharge setting).
How balances recharge
There are two ways a balance refills. You pick one per leave type.
Annual
The balance resets to a fixed amount at the start of each year.
- You set the annual amount (e.g. 20 days).
- On the yearly reset, the balance is recharged to that amount.
Best for standard allowances like “20 days of annual leave per year.”
Daily
The balance builds up gradually, a little each day, based on a yearly target.
- You set the days per year (e.g. 12).
- Each day, roughly
days per year ÷ 365is added to the balance.
Best for accrual-style policies where entitlement grows as the year goes on rather than arriving all at once.
Balances per person, per year
Every person has a separate balance for each leave type, tracked by year. When leave is approved, the days are deducted; if it’s later cancelled or rejected, the days are returned.
Admins can view and adjust individual balances.
Using leave
Members request time off against these types, and managers approve or reject. For that flow, see Leave requests.
