Open shifts

An open shift is a shift that belongs to nobody yet. You post it, the people who are allowed to work it see it, and the first one to pick it up gets it. No approval step, no back and forth.

Use it when you need a shift covered but don’t mind who covers it.

Picking up an open shift

If there’s anything for you to take, an Open shifts card appears on your dashboard.

1. Go to your dashboard.
2. Click the shift you’re interested in.
3. Check the details: date, hours, breaks and any notes the manager left.
4. Click Pick up.

That’s it. The shift is yours straight away and shows up in your schedule.

Because it’s first come, first served, a shift can be gone before you confirm. If that happens, Weqly tells you and the list refreshes.

What you won’t see

Open shifts are filtered to what you can actually work, so the card hides:

• Shifts limited to a team you’re not in.
• Shifts on days you have approved leave.
• Shifts that have already started.

If a shift overlaps one you already have, you still see it, with a warning. You can take it anyway if that works for you.

Posting an open shift (managers)

1. Create a shift as usual on the schedule.
2. Turn on Open shift instead of choosing a person.
3. Optionally set Eligibility to a team, so only that team’s members can pick it up. Leave it empty and anyone in the workspace can.
4. Save.

Everyone eligible gets one email listing what was posted. Post a whole week at once and they still get one email, not twenty.

When somebody picks a shift up, the team’s managers are notified. Shifts nobody picked up stay visible on the schedule in the Open shifts row, so gaps are easy to spot.

Repeating shifts work too: post the rule as open and each date becomes its own shift that somebody can pick up separately.

Drops that become open shifts

When you approve a drop request, you choose what happens to the shift. Pick Send to open shifts and it goes back into the pool for somebody else to take. See Shift trades & drops for the full flow.

Turning emails off

Don’t want the notifications? Go to your account settings and turn off the Open shifts email alert. The card on your dashboard stays.
