Roles and permissions

Understand the Owner, Super Admin, Admin, and Member roles, and how managing a team works.

Every person in a workspace has a role that sets what they can do. On top of that role, someone can also be made a manager of specific teams. This guide explains both.

The four roles

Each member of a workspace has exactly one of these roles:

RoleWhat they can do
OwnerFull control of the workspace, including billing. The only role that can transfer ownership or delete the workspace. There is one owner per workspace.
Super AdminEverything an Owner can do except transferring ownership or deleting the workspace. Includes billing and managing other admins.
AdminManages users, workspace settings, leave types, integrations, and optional feature toggles. Does not have billing access.
MemberViews their own schedule, requests leave, and requests shift trades or drops.

You choose a person’s role when you invite them, and you can change it later on the Users page. See Getting started with Weqly for how inviting works.

Managing is a responsibility, not a role

“Manager” is not a workspace role. It’s a responsibility you assign on top of someone’s role: a person can be made the manager of one or more teams. Within a given team, a person is either a manager of that team or a member of it.

Managers of a team can:

  • Build and adjust that team’s schedule and assign shifts. See Managing schedules.
  • Approve or reject leave for the people in their teams. See Leave requests.
  • View and correct clock-in sessions for members of the teams they manage. See Clock-in.

A manager’s reach is limited to the teams they manage. Admins, super admins, and owners, by contrast, can manage any member of the workspace.

Who can change what

  • Roles are changed on the Users page.
  • Team managers and members are set on the Teams page. See Managing teams.
  • Optional features (like Kudos and Clock-in) are toggled by admins, super admins, and owners in workspace settings. See Enabling features.
  • Inviting new people is done by admins, super admins, and owners on the Users page.

A note on owners

Because there is one owner per workspace, an owner must transfer ownership to someone else before their own account can be removed.
